How to use it

Worked example · Weekly card with overtime and pay
Input
5 days, 8:00 AM – 5:30 PM, 60-minute breaks, $25.00 per hour
Calculation
42h 30m worked − 40h 00m threshold = 2h 30m overtime
Result
$1,000.00 regular + $93.75 overtime = $1,093.75 estimated gross pay
Worked example · Biweekly card, weeks kept separate
Input
Week 1: 42h 00m · Week 2: 38h 00m
Calculation
Week 1: 2h 00m overtime · Week 2: 0h 00m overtime
Result
80h 00m worked · 78h 00m regular · 2h 00m overtime
  1. Choose Weekly (7 days) or Biweekly (14 days) and the date the period starts.
  2. For each day you worked, enter clock in and clock out. Turn on “Ends next day” for overnight shifts.
  3. Enter any unpaid break in minutes. Leave days you did not work empty.
  4. Optionally open “Pay and overtime settings” to add an hourly rate or change the overtime threshold and multiplier.
  5. Select Calculate time card, then copy the summary, export a CSV file or print it.

How it works

Each day's worked time is the shift minus its unpaid break. Days 1–7 form Week 1 and days 8–14 form Week 2, whatever their weekday names.

Overtime is the part of each week above your threshold, 40h 00m by default. Weeks are never averaged, so a long week and a short week do not cancel out.

With an hourly rate, regular and overtime pay are calculated from exact minutes and rounded to the cent for each week.

Formula
worked = shift length − unpaid break
overtime = max(0, week total − threshold)
regular pay = round(regular minutes × rate ÷ 60)
overtime pay = round(overtime minutes × rate × multiplier ÷ 60)
Limitation. Overtime and gross pay are estimates based on the settings you enter. Actual pay rules may differ.
Note. HourCalio does not calculate taxes, deductions or net pay, and does not decide which overtime rules apply to you.

Frequently asked questions

Why are the two weeks calculated separately?

HourCalio treats each seven-day week as its own workweek and checks it against your threshold. With a 40-hour threshold, 45h 00m in Week 1 and 35h 00m in Week 2 give 5h 00m of overtime; averaging the two weeks would hide it.

Can I change the overtime settings?

Yes. The 40-hour threshold and the 1.5× multiplier are editable defaults, not a legal determination. Use the settings that match your employer's rules.

How do I export or print the time card?

After calculating, select Export CSV to download a spreadsheet file, or Print / Save as PDF to open your browser's print dialog, where you can also save a PDF.

Why might my paycheck be different?

The result is an estimate of gross pay before taxes and deductions. Rounding rules, paid breaks, shift differentials, state rules or agreements can change what you are actually paid.

Is my time card saved?

Only if you turn on “Save this time card on this device”. It stays in this browser, is removed 90 days after it was last saved, and you can clear it at any time.
